Welcome to Listomni!

Thanks for purchasing Listomni, the List App for iPhone and iPod Touch!

Protecting your data!

We STRONGLY recommend that you periodically backup of your data! Although iTunes backs up your data every time you sync, restoring from an iTunes backup is no fun as it restores the entire device, and requires music to be resynced.

Listomni Backups are quick:
1) Tap the "Settings" Tab
2) Tap "Backup and Restore"
3) Tap "Email Backup file" (Or Backup to File)
4) Send the email backup to an email address that is accessible on your device, and where it won't accidentally get deleted!


How to Use this Guide

The rest of the Introduction discusses the basic architecture of the app. Section two is the Quick Start Guide, which is very dense, but should get you up to speed quickly. If you're going to read anything, read the Quick Start.

The rest of the guide discusses how to perform individual functions in the app. It's meant as a searchable reference rather than bed time reading material. An FAQ section is also available at the bottom of the guide.

To search this Guide, Tap the Magnifying Glass at the top of the screen. (A) Then Type what you're looking for into the Search Window with appears (B)

If a specific button is associated with the function, it's included by the title as visual queue. (C)

Overview

Listomni has four main types of objects:
Lists, Items, Folders, and Dictionaries.

Lists hold items and are the basic unit of organization in the app. Every List has a name and a specific type which defines what fields are available for items on that list You can create new lists and delete existing ones

A List Item is something you need to remember such as "Milk" or "Toothbrush." Depending on the list type you add the item to, you can also enter different information for each item. For Example: To Do List Items have due dates, Grocery List Items have quantities and costs. You can add items to a list, delete them, edit them, check them off, email them, and move or copy them to a different list.

Folders contain Lists, or other Folders. This allows you to organize your lists in a folder hierarchy.

Dictionaries are used to remember things that you've entered into the app before. This includes entire items, and individual field values. Whenever there is a list that you can pick a value from, a dictionary is in use.

List Philosphies

There are three schools of thought on how best to maintain a list in the app:

Method One: Add items to the list as needed, check an item off when you fulfill it, then delete checked off items after that particular trip or activity. Cost totaling works best with this method, as Checked off items can be counted up so you can see how much you've spent so far.

Method Two: Add items as needed, delete them as you fulfill them. This is the cleanest method when you don't care about Cost totaling during the activity, and don't need the list as a mnemonic.

Method Three: Add all the items to the list you'll ever need. Check items off when you fulfill them. Uncheck them when you need them again, or before the activity. This method works best when you need a reminder list for a recurring activity, but it doesn't work as well with Cost Totaling, as items will be included in the total at inappropriate times.

In all cases, you only type a full item in once, as Listomni remembers what you've typed even if you've deleted the item. It will recommend the item if you start to type it again. We mention this, because many people opt for Method three in an attempt avoid retyping items, which we feel is the least valid reason to pick that method.


2. Quick Start

Tab Bar Navigation

Basic Navigation in Listomni is provided by a customizable tab bar at the bottom of the screen.
A) You can add your most used lists to the tab bar.
Additionally, there are three System Tab Bar items of note:
B) Settings Tab: Application wide Settings, Help and Dictionaries.
C) Lists Tab: View, Create, Delete and Organize Lists.
D) The More... Tab: Access to top level lists which don't fit on the tab bar and Tab bar customization.

The Lists Tab

Use the Lists Tab to Navigate, View, and Manage your lists. Functions are broken down below:

Normal Mode
A) Tap on the Green Plus Button to add a new list
B) Tap on a list or folder to open it.
C) Swipe and tap Delete to Delete a list.

Edit Mode (Tap Edit)
D) Select Multiple Lists for Editing or Deletion
E) Drag lists by the move handle on the right to Organize them. (Dragging under a Folder Group will move the list to that Folder)
F) Tap a List's Detail Button to edit it's List Options.

In Both Modes, you can use the folder/flat button on the left of the toolbar (G) to switch between viewing just your lists which live at the Top level Folder level (folder) or to view All Lists, regardless of the Folder they live in (flat).



List View

List View shows you an overview of the items that are on a particular list.

A) Tap the Title of a List to search the List
B) Items are usually grouped together under a "Group Header" by common properties such as store, section, or category. Tap the Text in the Group Header to just see the items under that group. (This also reveals subsequent grouping in the view. )
C) Tap the left most button on the group header to hide all items in that group.
D) While not in edit mode, each item has status indicator to the left of it which when tapped toggles the item between checked and unchecked.
E) Swiping an item will ask if you want to delete the item.
F) By Default, while not in edit mode, tapping the item anywhere but the checked indicator will switch to Detail View which show all fields for the items, and lets you edit their values.





List View Toolbar

List View usually has a Toolbar at the top to perform various functions:
A) Tap the left-most button (Filter Button) to hide and unhide checked items.
B) Tap the Green Plus button to add new items to the list.
C) Tap the Purple Eye button to group or sort the items on your list differently.
D) Tap the Blue Action button to Uncheck All items, Email items, or Add items from the Dictionary.
E) The "i" button is a shortcut to the List's Options screen which controls list behavior, cost totaling, how items look, and lets you add and remove Stores, Categories, Units, and other dictionary items.



List View (Edit Mode)

When you tap the Edit button in List View, both items and the toolbar changes to allow different functions:
A) Tap the button to the left of the item to select or unselect it for deletion, editing or some other action.
B) Tap the Green "Edit Multiple" Button to set the value of an item field for all selected items.
C) Tap the Red Trash Can Button to delete all selected items.
D) Tap the Blue Action button to email, move, or copy just the selected items.
E) Tap the right-most button on the toolbar to select or unselect all visible items.
F) Tap the button on the right of the group header in order to reorder the groups.
G) Press and hold an item by the move handle to drag to a different group, or manually order the list.
H) By default you can also just tap the item to select or unselect it, though this behavior can be modified in Settings.

Item Detail Views (Add & Edit)

An Item Detail View appears whenever you tap the Green Plus Button in List View to add items, or when you tap on an item in List View to edit items.

A) The Add screen provides a Cancel Button, an Add Another Button (the plus button) and a Done Button.
B) The Edit Screen provides a Back Button, and Buttons to scroll between items.

Both Add and Edit Screens shows you all available fields for an item and their current values.
C) Tap a row to Edit the Value
D) A Value Editor will be displayed in the bottom half of the screen
E) Directly above the Editor is the Editor Toolbar. (Discussed Next)


Editor Toolbar Buttons

The Editor Toolbar appears whenever you are editing a value in the app. It allows you to:
A) Start Editing the previous or the next field.
B) Editor Buttons appear when more than one input method is available for a particular field. This is useful when you want to add a new value which is not in the pick list, or if you would prefer to type the first few letters of the value rather than scrolling through the list.
C) The Triangle Button stops editing.

Area D shows the correspondence between editor buttons and the type of editor. See the item Detail section for more discussion of the different editors.

Let's Get Going!

You should be ready to get going at this point. Here is our recommendation on how to proceed:

1) Start on the "Lists" tab by Deleting the Lists you don't want. (Edit->Select Unwanted Lists->Red Trash Can Button)

2) Add new lists, note that the List Type will determine what fields you can populate for the item, and what views are initially available for the list.

3) Enter List Items on the Device or import them from your computer. (See www.ontomni.com->Support->Listomni->Want to Enter items in on your computer)

4) If you import items, Stores and Categories in the template will be added to the dictionary for a list automatically. If you plan on entering them on the phone then view the List's Option screen to add these objects.

5) Customize the Tab Bar if you have more than three lists: (More... Tab->Edit->Drag icons around)




3. The Lists Tab

Creating Lists and Folders

To create a new List or Folder
1) Tap the "Lists" tab.
2) Tap on the green + button.
3) Pick a list type (This determines the fields that are available for each item. Pick folder to create a Folder.)
4) Give the list a title by tapping on the Title field, and typing in a name.
5) Tap Done to save the new List.



Deleting Lists and Folders

You can delete an individual list or folder as follows:
1) Tap the Lists Tab.
2) Swipe The List.
3) Tap the Delete Confirmation.

Listomni ships with a list for most list types. You're welcome to delete some or all of these default lists. To Delete multiple Lists:
1) Tap the Lists tab.
2) Tap Edit
3) Select the Lists you want to Delete
4) Tap the Red Trash Can button.

Organizing Lists

To change the order of your lists in the list tab:
1) Tap the Lists Tab.
2) Tap Edit.
3) Press and hold the move handle to the right of a list Drag the list to where you want it to appear in the list.

A) If you drag the list under a Folder Section header then you will move the list under that folder.



4. List View

Adding Items to a List

To add a new item to a list:
1) Tap the green + button while viewing the list to open the Add screen for the list.
2) Type the Item name.
3) Tap any other fields you want to set for the item (Store for example)
4) Tap the Done button to save the item, or the + button to save the item and enter another.

For more information On the Add item Screen see the Item Detail View section.

Any new values you type in will be saved to the dictionary by default, so the next time you add the item, you won't have to type the entire item.

Adding from the Dictionary

Some people prefer to pick items out of the dictionary when creating a list rather than type anything at all. To build your list this way:
1) Tap the Blue Action Button.
2) Select Browse Dictionary.
3) Select the items you want to add to the list by tapping the items.
4) Tap Add.

Note this only works well for the Grocery List type initially as it's the only list that comes with a pre-populated dictionary.

Deleting Items

1) Swipe the item left to right.
2)Then tap the delete confirmation.

OR:

1)Tap the Edit Button
2) Select the items you want to delete by tapping the round circle to the left of the item
3) Tap the Red Trash Can Button.

Checking and Unchecking

When not in Edit mode, the button to the left of an item Shows you if the item is Unchecked (A) or Checked (B).

Tap the Button to toggle the item to the other state.

Note that optionally Checked items also contain a line through them. You can disable this in Settings.


Hiding Checked Items

The left most button on the toolbar is the Checked Filter Button.
Tapping this button toggles from showing all items (A) , to showing just unchecked items (B) , to showing only checked items (C), and then back to showing all items.

It also shows the number of items currently visible, and the total items on the list in a red badge.
The badge can be disabled on the Settings tab.

Removing Checked Items

As you check off items, they're still on your list, even if they're not visible. You can uncheck them all to restart the list, or you can delete all the checked items if it was a onetime list
1) Tap the Blue Action Button.
2) Tap "Remove Checked Items."
3) Pick "Delete Checked Items" to remove the checked off items on the list or "Uncheck Items" to keep the items and uncheck them.


Group Filtering

You can use groups in order to filter a list:
To filter on a group
1) Tap on the text group header in List View.
To return to the full list,
2) Tap on the Button which appears at the top left of the window.

Filtering by a group is particularly useful when you only want to see items for a particular store in the grocery list.

Collapse and Expanding Groups

To collapse a group and hide the items under it:
1) Tap the Triangular Button on on the left of the group header.
To expand a collapsed group and show the items again:
2) Tap the button again.

To collapse or expand all groups:
1) Press and hold any button to the left of a group header. You will be prompted to expand (show) or collapse (hide) all groups.

Manually Organizing Items

If the current view you're using does not sort items automatically, then it's possible to order them manually:

1) Tap the edit button in list view.
2) Drag rows around by the handle which appears to the right of the item.

Note that if you drag an item to another Group, it will set the item's value for the grouping field.

Manual orderings are specific to the a particular view and list combination.

Emailing Visible Items

To email the items on the list screen
1) Tap the Blue Action Button.
2) Tap "Email Visible Items"
3) Tap "Easily Readable" to just format the fields you see in the list view in the email. Alternately, tapping "Spreadsheet" formats all fields in the email text as one large table, and includes an attached CSV (Comma Separated Value) file.
4) Enter where you want to the email the list.
5) Press Send.

A link which allows the receiver to import the items into another copy of Listomni is also included in the mail.

Note that hidden items are not sent.
Also Note that the mail will not send if you have your mail settings set to "Manually" send the mail until you launch the Mail app.

Selecting Items

While in Edit Mode in List View, you can select multiple items for various operations.
To toggle an item's selection property
A) Tap the Circle Button to the left of the button. When it's red, the item is selected.
B) By Default you can actually tap anywhere on the row to select the item, however this is Settings dependent.

Alternately:
C) Tap the rightmost toolbar button to Select or Deselect all visible items.

Note that if you filter by a group, and select all items, you will only select the items in that group, which can be useful from time to time.

Emailing Selected Items

You can email just a few items from a list as follows:
1) Tap Edit
2) Use the buttons to the left of items to select them.
3) Tap the Blue Action Button.
4) Tap Email Items.
5) Pick the type of email ("Spreadsheet" includes all fields in the the email and includes an CSV (Comma Separated Value) file, "Easily Readable" only includes fields you currently see in List View, and group headers, though all fields are included in the import link.)
6) Enter an email address
7) Tap Send

*Note that the mail will not send if you have your mail settings set to "Manually" send the mail until you launch the Mail app.

Editing Multiple Items

You can edit fields for more than one item at a time.
1) Tap Edit.
2) Select some items using the buttons to the left of items.
3) Tap the Green Edit button.
4) Tap the field you want to set the value for.
5) Set a Value for the Field.
6) Tap the Apply.

Note that the Green Edit Button is only enabled when at lease two items are selected.

You can select all visible items for editing by using the right most button on the toolbar (A)

Moving and Copying Items

To copy or move items to a different list:
1) Tap the Edit Button.
2) Select the items to move / copy
3) Tap the Blue Action Button.
4) Tap "Copy" or "Move"
5) Select the target list.
6) Dismiss the added and merged item report.

Note that you can select all visible items using the left most button on the toolbar (A), and that you can create a new list instead of picking an existing list by tapping the Green Plus button on the toolbar (B)

Searching for Items

To search for an item in a list:
1) Tap the magnifying glass after the list title.
2) Type what you're looking for. (Fields which are searchable depends on the current list type.)

You can interact with items in the search result just as you would when there isn't a search:
A) Delete them.
B) Check them off
C) Open the Item in Item Details

3) Tap the cancel button to clear the search and return to viewing all items on the list. Canceling also zooms to the first item in the list which matched your search criteria.


5. Item Detail View

Item Details Overview

The Item Detail View lets you see all fields for an item, and to edit those fields' values.

To open an item in Item Details:
A) Tap the item in list view while not in edit mode.
B) If you've changed the default row tap behavior in Settings, then you may have to instead tap the Detail button to open an item in Item Details.

Once in Item Details View, you can use the arrows at the top right of the screen (C) to switch between items which were visible in list view.

D) The Toolbar in Item Details can be used to add new items without leaving detail mode, delete the current item, or to move or email the current item.

E) Occasionally fields will have a light gray arrow button next to them. Tap the button to perform a external action, such as Searching for the value in Google or Maps, dialing a phone number, or composing an email to an email address. The function is dependent on the field and list type.

Editing in Item Details

To Edit a field's value in item Details:
1) Tap the field
2) Use the Editor which pops up to set the field's value.

A) Tap the Next or Back button to edit the Next or previous field for this item.
B) Tap an Arrow at the top of the screen to edit the same field for the next or previous item.
C) If available, the grey X button next to a value lets you clear the value out.
D) Tap the Upside triangle button to stop editing and stay on the details screen.

The item is saved when you return to list view or view a different item.

Item Dictionary Fields

The First Field in Item Details View is an Item Dictionary Field for most list types.

1) As you start to Type, Item Dictionary Field will recommend items from the Item dictionary for that list type which match what you've types so far.

2) Tap an Item in the recommended list to accept it and to autofill any dictionary fields such as Category, Section or Cost (C) which were saved in the dictionary. (See List Types for more information about which fields are copied into the Dictionary when items are saved. )

A) You can also tap the Browse Dictionary button to open the item Dictionary in full screen mode.
B) Tapping an item in the Browse Dictionary window accepts it and autofills any associated dictionary fields.

Quantity Field

The Grocery List's Quantity field lets you specify the Quantity and the Unit in two ways:

A) Type the Quantity and Pick the Unit.
B) Pick both the Quantity and Unit from the list.



Other Dictionary Fields

When entering or editing an item in Item Detail Views, many fields are linked with a Dictionary behind the scenes. For all dictionaries other than the Item dictionary, you have the option of:
A) Picking a Value from the list.

B) Typing the Value (This will search the list of possible values or let you type a new value which wasn't in the dictionary yet.)

C) Browsing the Dictionary in full screen mode.
1) Tapping an item in the Browse Dictionary window picks the value
2) You can tap the Green Plus Button to add a new item to the dictionary (such as a store or category.)
3) You can delete items you don't want in the list.

Comment Fields

All List types have a comment field.. The Comment Field Type expands based on the amount of text which is entered into it (A). It can be used for whatever extra information there wasn't a field for.

The Comment field additionally attempts to Auto Detect Phone numbers (B), Email addresses(C), and URLs (D) for it's external action which lets you quickly jump to the phone app, the mail app or Safari.
The value must be the only content of the comment field for this detection to work properly. If no value can be detected, then the option to search for the entire comment field contents in a search engine is given (E).

Dates and Times

Many List Types (To Do List, Card List, Gift Received, Gifts, Budget List, Fuel Economy List, Numbers List) have one or more date time fields.

There are several editors available to set the time and Date:
A) The Calendar Picker
B) The Date Picker
C) The Time Picker

Additionally, the All Day button (D) toggles the date between just having the date, and showing a specific time on the date. (Note the the All Day option is mutually exclusive with the Time Picker.

Flags

New in Listomni 2.3 is the Flags field for all list types.

This Fields consolidates several Yes No flags for an item such as Checked / Not Checked, Important / Not Important, Have Coupon / No Coupon, On Sale/Not On Sale, Overdue/Not Overdue.

A) Tap on a Flag button to toggle the flag.
B) For an explanation of each Flag button tap anywhere on the field except for a button.
C) Flags can be used to change the color of the item in Item Details, and in List View. More information can be found on this under the List Options, Item Layout and Colors.

Person/Contact Fields

Many List Types have a Person/Contact Field which lets you track someone who is related to the item.

A) Use the Address Book button to link the item to a Contact from the iPhone Address Book.
B) When an item is linked to a contact, a grey head button appears next to the value. Tapping on this button will open the contact without leaving the application, from where you can initiate a Phone Call, or an email.

C) Instead of linking to the address book, you can also just type a value into this field or pick from the internal listomni Dictionary. It works just like any other dictionary. (The People Dictionary and isn't related to the iPhone's Contacts. ) This is useful because sometimes you don't want to add a full contact for a one off task, or for that bartender that recommended a movie.


Number Fields

Number Fields such as Prices and Quantities may be entered in two ways:
A) Users can type in the number, specifying when the decimal occurs, and up to four decimal places.

B) ATM machine style number entry. Using this method, numbers have a fixed precision.

Additionally, Method A Provides a simple calculator via button (C) which lets you compute prices and other numbers when they're advertised in packs like 7 for $7.99 or 2 for one.


Calculated Fields

Some item fields are related by a calculation. For example, setting the quantity(A) and a Unit price(B) for an item on the Grocery list, will automatically calculate the subtotal and the full price of the item (C).

Editing the full price of the item will reverse the calculation for the other fields which participate.

Look at the List Types appendix for a description of calculated fields.

Tag Fields

Tag fields let you associate multiple "Tags" with a single item. This type of field is used on the Movie List to allow you to tag the film with as many actors as you'd like.

For other lists types, tags can be useful when representing multiple simultaneous states with don't have properties on the list. Tag fields are searched.

You can assign tags in a couple ways:
A) Typing (Optionally Picking from the Autocomplete suggestions)
B) Tapping the Dictionary Button, and selecting the tags you want. (You can also add and edit tags from this screen.)


Schedules

For some list types, you can Schedule an item to be added to the list in the future, optionally on a recurring basis.

If the list supports it, there will be a "Schedule field" in Item Details.
1) Tap the field.
2) Select the type of schedule, how often it repeats, and the End Date ( if applicable.)

A) The Occurs Section will show you when the item will first be added to the list, when it was last added, and when it will next be added.

B) The Action section allows you to specify the behavior if a duplicate item is already on the list when the schedule runs. (Card Items and Budget Items use the date as part of makes an item unique, so this option is "Always Add" for those list types.

C) For some list types (where there is a due date to be updated such as Todo, Gift Lists, Card Lists, and Budget Lists) you can also specify the number of days in advance the item items should be added to the list.

Once you've scheduled an item, it's been added to the list of Scheduled Items in the list's options. (See Section 6 Scheduled items) You can delete or check the item off the list like you normally would without deleting the schedule. When the schedule runs, the item will be added to the list again, or unchecked if it's already present. Also see the "Scheduled Items" section in "Settings" to change how updates, deletes, and alerts relating to scheduled items are handled.


6. List Options

List Options Overview

A) There is a List Options screen for every list in the app. It lets you configure behaviors and settings that are specific to an individual list:
The List Title, Price Prompting, the Budget for the list, and how to count items on the list. List Options also provides quick access to the Dictionaries associated with the list such as Stores and Units.

To access the List Options Screen for a particular list while viewing the list:
1) Tap the "i" button.

Alternately:
1) Tap the Lists Tab.
2) Tap the Edit button.
3) Tap the Details button for the list you want to edit.
(This method additionally lets you scroll between lists. )

General List Options

The "General" section on the List Options screen shows you the lists name, it's list type, and the parent folder.
1) Tap the "i" Button while viewing the list to access the List Options Screen.

A)Tap the title row and enter a new name to rename the list.
B) Tap the "Parent Folder" row to move the list to a different folder. (Note that the folder must have been created previously)
C) Tap the Comments row to add a comment to the list which will appear on the Lists tab.

Currently it's not possible to change a list's type after it's been created, however you can create a new list of the desired type and move items to it.

Changing a List's Dictionary

A List's dictionary controls which stores, categories , units, etc are displayed and also what items are recommended when you start typing a new item. By default, each distinct list type has it's own dictionary. (If you enter a new item or store for the Grocery List , it will be available for all Grocery Lists.)

Occasionally, you may want to have separate dictionaries within a list type, so the app doesn't recommend inappropriate items:

While Viewing the list:
1) Tap the "i" button to access the List Options screen.
2) Tap the Dictionary Row in the Item Entry Section.
3) Select the specific Dictionary you've created, or "Create New Dictionary" to create a new, empty dictionary just for this list.


Configuring Stores and Categories

You can add and remove Stores, Categories, Units, and other dictionary objects for a list by:
1) Tapping the "i" button while viewing the list to access the List Options screen.
2) Tap the Dictionary you want to add or remove values to in the Item Entry Section.
A) Tap The Green Blus Button to Add an Item.
B) Swipe the Item and tap Delete to delete an Item.

The list of dictionaries will vary by list type.

List Badge Count

When a list is displayed on the tab bar, or in the Lists tab, a badge with a number is generally displayed next to the list. (A)

You can change the counting mode for this badge to display the total number of items on the list, the number of unchecked items on the list, the number of overdue items (To Do List type only), or None to hide the badge.
1) Tap on the "i" button while viewing the list
2) Tap the Badge Count row
3) Set the desired behavior.


Include a List in the App Badge

The "Count In App Badge" option on the List Options screen allows you to include the number of items from the list's Badge Count in the total for the Application which is displayed on the applications icon on the home screen. (A)

To change this option for a list:
1) Open the List Options for the list.
2) Tap the On Off switch in the "Count in App Badge" row in the List Badge Options section to change the value.

Alternately while on the Lists tab:
1) Tap the Purple Eye Button.
2) Change the view to "Group by App Badge Incl."
3) Tap Edit.
4) Use the move handle on the left to drag lists to the On or Off group.

Note that you can also Edit multiple lists on the list tab at once to set this value. (See Editing Multiple Items)

Also Note that the Settings Tab to enable the App Badge icon must also be enabled.

Numbers and Budgeting

Several list types allow you to total the cost of items on your list after tax and subtract this amount from a budget for the list. This information is displayed in the List View header. (A) Costs are also totaled by group. (B)

When a list has a price field, then the List Options screen displays a Numbers and Budgeting section which controls settings related to the budgeting features of the app.

To turn totaling on or off, and modify the settings:
1) Tap the "i" Button to access List Options.
2) Scroll down to the Numbers and Budgeting and tap the setting you want to change.

Cost Totaling

A list's Cost Totaling setting controls how the total value of the list is computed which is displayed on the List's Header. You can change this behavior:
1) Tap the "i" Button while viewing the list.
2) Tap the "Cost Totaling" row in the "Numbers & Budgeting Section.

You can choose from the following ways to calulate the total value of a list:
A) Don't Total. (Hides the price total from the Lists header. This also disables several other number related List Options.)
B) Checked items (Count only the items on the list which were checked off already, but not deleted. This corresponds to totaling items in the shopping cart or ready to purchase)
C) Unchecked items (Only items that have not been checked off the list. This equates to the value of items left to purchase.
D) All Items in the list. (Include to the Total for every item on the list.)

List Budget

To Set the budget for a list:
1) Tap the "i" button while viewing the list to show the List Options screen
2) Tap the List Budget row in the Numbers & Budgeting section.
3) Enter a value.

A) The total cost of items on the list, according to the Cost Totaling method will be subtracted from this budget and displayed in the list header.

B) If no budget is set, the only the total amount on the list is shown.

Cost Totaling must be set to a value other than "Don't Total" to set a budget for a list. The List Type must also have a price field for this option to be available.

Check Off Prompt

Depending on a list's "Check Off Prompt" (A) mode, the budgeting feature will insist you enter cost information for items before you can check them off the list (B). You can have the app never prompt you, always prompt you, or only prompt you when the cost is missing.

When this option is enabled for a List, the "Prompt Fields" (C) can also be set, which controls which fields are displayed and editable in the Prompt.


Currency Format

By Default, all cost fields are displayed according to the region setting on the device. You can override this while on traveling to other countries when you might want to total costs in a foreign currency.

For a list:
1) Tap the "i" button to show the List Options screen for the list.
2) In the Numbers and Budgeting section, tap the "Currency Format" row.
3) Pick a currency format.

Note that this does not recompute values in the list, it simply changes how the price is formatted.

Item Layout and Colors

An "Item Layout" controls :
A) Which item fields are displayed in list view, and if there are only two fields displayed, if items are reduced in height.
B) If the checkoff button is visible
C) The default row, list, and button color. An Item layout also controls under what conditions a row or check off button will change color. (Such as Overdue, high priority, etc. etc. )

Listomni comes with at least two different Item Layouts for each List Type

To change the default item layout for the list:
1) Tap the "i" button on the list to open List Options.
2) Find and Tap on the "Item Layout and Colors" Row in the "Appearance" section.
3) Tap on the desired Item Layout from the list and exit back to the list.

(Each Layout offers a representation of what it will look like, and also will animate the color's it each row may take on depending on different item field values. )


Customizing Item Layouts

If there isn't a default Item Layout which suits your needs you can create a new Item Layout and specify which fields appear, if the check off button is hidden, and the color rules which affect the item.

From List View:
1) Tap the "i" Button.
2) Tap "Item Layout and Colors"
3) Tap Edit.
4) Tap the "Tap To Add Layout" row to create a new layout or tap an existing the Layout you'd like to modify.

A) A sample row is displayed at the top, so you can see how your changes will affect what each item will look like in List View.
B)Set each of four cell positions to show a different item field.
C) If you leave the Lower field positions blank, then you also have the option of Shrinking the Over All cell height to fit more items on the screen in list view.

Row color schemes are discussed on the next Help Item.

Customizing Item Colors

An Item Layout also controls:

A) If the Toggle Button Appears and the Default Button Color
B) If the Toggle button changes color based on an item field: (Overdue, Have Coupon, Checked, On Sale).
C) The List Row color. (This also changes the color of the list on the List Tab)
D) If the Row changes color based on an item field

Some list types also allow you to pick a dictionary field to base the item color on. (To Do List, Simple Checklist, Gift List, Music, Movie, Book list). In this case, the color used for specific field values can be set by editing the dictionary. (List Options->Tap the dictionary named the same thing as the field.)

Default Field Values

When adding new items to the list, you can set the default values which are used for certain fields.
1) Open the List Options screen by tapping the "i" button on the list.
2) Tap the Item Default row at the bottom of the Item Entry section.
3) Tap the field you want to change the default value for.

You can set a fixed value, or set it to always use the last value entered for the field.
This is useful for setting a Default Tax Rate for a list.

Scheduled Items

The Scheduled Items row in List Options lets you see, add to, delete, or modify all the Items which are scheduled to be added to the list at some time in the future, regardless of if they have an instance on the list at that time.

1) Tap the "i" Button to open a list's options
2) Tap "Scheduled Items" in the Item Entry section.

Tap the Blue Detail button to edit a scheduled item.
Tap the Green Plus button to add a new scheduled item.
Select an item and tap the Red Trashcan to delete the item.

Look here to get rid of scheduled items when you're done with them, even if they're not on you list at the moment.

Customizing Auto Add Behavior

By Default, Listomni adds new values you type to dictionary which is tied to the list.

To change disable this behavior navigate to the List.
1) Tap the i Button,
2) Tap the Dictionary you want to change the behavior for.
3) Tap the "i" Button for the Dictionary
4) Tap the Mode row and set the desired value.



7. Grouping and Sorting

Changing Views

Each list type comes with several built in ways to group and order items on your list. These are called views. Views can also override the list's default layout of fields and the color rules for items.

To change between views:
1) Tap the purple Sorting and Grouping button.
2) Tap the view you want to use.

Note that you can modify the views (say...to sort alphabetically, or group by a different property) if the standard views don't do quite what you want.

Ordering Groups and Sections

To reorder grouping sections from List View:
1) Tap Edit.
2) Tap any round reorder handle on the right hand side of any Group Header.

A) The first area lets you setup sorting behavior for the group sections based on a dictionary view, the section's natural order (alphabetic or chronological), and specify where items that don't have a value set for the grouping field end up.

B) The second area shows you how the Groups will be ordered.

C) To manually order the group headers at any time Press and Drag the rows to the order you want using the reorder handles on the right.

Note that this Ordering is specific to the current view, so if you create additional views, it is possible to order things like sections differently.


Managing Views

The Edit Views screen lets you create, modify and delete views. Views control how items are ordered and grouped together in List View. You can have several different views for a given list, or list type.

To Access the Edit Views Screen:
1) Tap the Views button in List View.
2) Tap Edit.

To Edit an existing View:
A) Tap the View

To Delete a View:
B) Tap the Delete Placard to the left of the item, then Delete.

To Add a New View
C) Tap on the "Tap To Add View" row.


View Options Explained

Views consist of a Name, a List Scope, an Optional Grouping Hierarchy, an optional set of properties to sort items by, and optionally, an custom cell layout.

A) The List Scope determines if the View is available for all lists of that type, or just a specific list.

B) The Grouping Hierarchy will consolidate items with the same value for a property under a Group Header which lists the Value.

C) If multiple properties are grouped, the second group in the list isn't visible in the list until you Filter by a value in the first group.

D) Automatic Sorting lets you order items on the list within each group. If no group hierarchy is defined, the entire list is sorted. If no sorts are specified, then you can manually order items while in List View.

E) If you optionally enable and set a different Item Layout than the list's default (See Item Layout under List Options), then when the view is in use, Field positions an row colors will follow the custom layout.

Sort and Group Options

A) When defining either a sort or a group, you must specify the list property to sort or group on.

B) When you add an Automatic Sort to a view, you can also specify the Sort Direction.

Groups are a bit more configurable and include options for:
C) Showing empty groups all the time, while editing or never.
D) Including items that don't have a value set when filtering on any group

These last two Group Options are explained in more detail the next two sections.

Shows Empty Groups

The "Shows Empty Groups" (A) setting if the View shows the Group Header for all possible values even if there isn't a visible item for the Group Value on the list. (B)

This is useful While Editing because it lets you set list values on items such as Grocery Store by dragging items to different headers by the Move Handle (C).
Similarly while not in Edit mode, you can "Open a Group" (Such as a specific Store) and then add items to it regardless as to whether there was a visible item in the group already.

Note that for Grocery Sections, or fields that have may values, this setting is not recommended.

Including Not Set Values when Filtering

When "Filtering Includes Not Set" (A) is enabled, tapping on a group header to filter the list (B) will include items that don't have a value set for the grouping property (C). This is useful for Grocery Lists when you don't care what particular store you plan to buy an item at. The item will still appear even when filtering by a specific Store value.


8. Settings Tab

Settings Tab

The Settings tab lets you configure Application wide behavior such as screen rotation and timeout, badge display, a few formatting settings, and typing behavior.

It also provides access to functions which are not specific to a single list like Backup, Password protection, and access to the Dictionaries which remember items, categories, stores, and units.

Additionally (as you've clearly already discovered) it provides access to this GUIDE, and links to contact support.

Backing Up Data

To create a backup of all you lists, and dictionaries:
1) Tap on the "Settings" tab
2) Tap "Backup and Restore" Item

To Email the Backup to yourself
A)Tap "Email Backup File"
4)Tap "Send" after filling in the email form information

To instead save the backup file for transfer to your computer:
B) Tap "Save File Backup"
4) Connect your device to your Computer, Launch iTunes, and click on the device in the left hand window.
5) Click on the "Apps Tab"
6) At the bottom of the right hand window in the "File Sharing" section, click "Listomni"
7) Select the Backup File with the correct Date and drag it to a safe location. (The backup will also remain on your phone unless you delete it, but it's safest to store it separately on your computer in case the Application is accidentally deleted.

Note that on iPhone OS 3.1 and earlier, file attachments are not supported. Instead the backup is encoded in a link. These link can be truncated by Outlook and other mail programs if forwarded. Use the "Recoverable Backup" option (iPhone OS 3.1 Only) to ensure you can reconstruct the backup later. If you have problems with a backup, please contact support@ontomni.com


Combo Lock

You can add a Four Digit combination lock to the app or to individual lists to protect sensitive data from prying eyes.
1) Tap the Settings Tab Item
2) Locate and Tap the "Combo Lock" item.
3) You will be prompted to enter your combination
4) You will be prompted to confirm the combination.

This will open the Combination Options screen discussed in the next help item.

The is no way Ontomni support can circumvent the pass code, so don't forget it!

Note that If a combination is set, the Backup, and Combo Lock functions require the combination to be entered before running a backup, or changing the combination.

Combo Lock Options

Options available on the Combination Lock Page are:

A) Disable the Combination
B) Change the Combination
C) When the Application should require the pass code. (Protects the entire App)
D) Which Lists, Folders, or Screens require the pass code to be entered to view them, delete them, or copy items to them. (Protects Individual Lists) Note that protecting a list also protects that list's dictionary and any other list using the same dictionary, since data frequently moves between a list and its dictionary.

Note that you can protect a list without pass coding the entire app. Once you unlock a list, it will remain unlocked the rest of your session, unless you also require the combination on wake, in which case lists are relocked when the app falls asleep.

After four unsuccessful attempts at the combination, the app quits, and only one attempt is allowed on app relaunch, until the correct code is received. If you're more concerned than this about security, please consider pass coding your entire device instead, as otherwise, anyone could delete the app.

Locking Interface Orientation

You can keep the interface from rotating when you turn the phone as follows:
1) Tap the Settings Tab.
2) Tap The Screen Rotation Item.
3) Select Auto, Portrait or Landscape.

Note that currently, you must rotate the device to the desired orientation once after setting this value before the lock will stick.

Disabling Screen Timeout

Normally, the Device will time out and Autolock itself when not touched for some time. (A) This can be annoying when working with a list which you need to look at without touching for longer (the Grocery List while shopping)

You can disable the screen from autolocking while you're using the app as follows:
1) Tap the Settings Tab.
2) Tap The Screen Time Item.
3) Select Disable.


Disabling the App Badge

If you never want to see a badge on the Application Icon on the device Home Screen (A), then you can disable it for the entire app as follows:

1) Tap the Settings Tab.
2) Set the On Off switch to Off for the row "App Icon Badge"

Hiding Toolbar Counts

By Default the Filter Button(A) on the toolbar shows you how many items are on the list, how many are visible, and how many are hidden. To disable this numeric readout:

1) Tap the Settings Tab.
2) Set the On Off switch to Off for the row "Filter Badge"


Appearance Settings

Several App wide appearance settings can be modified in the "Appearance" section of the settings tab.

A) Cross Off Items - When enabled checked off items on lists also have a line strike through them, otherwise they're just grayed out.

B) Shrink List Text to Fit - In List View fields shrink significantly to fit as much text on each row as possible. This can be disabled by toggling the On Off switch for this setting, as it can be distracting for lists which have lots of moderate length strings.

Row Tap Behavior

By Default, while viewing a list, tapping an item opens it in Item Detail View (A).
This behavior can be modified to do nothing, or to Toggle the item's checked flag instead (B) .

The latter two settings also causes an Item Detail button to appear on each item which will open Item Details if tapped. (C))

To Change this setting:
1) Tap the Settings Tab
2) Tap the "Row Tap" row under "Row Tap Behavior" and Select a new Value.

Edit Row Tap Behavior

By Default, while in edit mode on list, tapping an item toggles the item selection flag (A)
This behavior can be modified to open the item in Item Details(B), or to Edit the Item in Place(C), or to not perform any action.

The latter setting also causes an Item Detail button to appear on each item in this mode.

To Change this setting:
1) Tap the Settings Tab
2) Tap the "Edit Row Tap" row under "Row Tap Behavior" and Select a new Value.

Global Item Entry Settings

A) The Auto-Correction row in the Settings Tab controls whether or not Listomni uses the device's keyboard correction.

B) The "Auto-Caps Mode" row in the Settings Tab controls when the iPhone keyboard automatically selects the "Shift" key on the iPhone Keyboard.

The options are Title Case, Sentence Case, or No Auto Capitalization. This setting only impacts text fields other than the comment fields.

C) The "Duplicate Items" row controls application behavior when you add an item to a list which is already present on the list. By Default, this prompts you to ask how to deal with the duplicates. Other possibilities are: "Merge / Uncheck", "Add Duplicates" and "Replace Existing"



Managing Dictionaries

You can view, modify, create, or delete new dictionaries for lists under the setting tab by Tapping Manage Dictionaries. You can also add item to Specific Dictionaries by navigating into the dictionary.

Note that you can now also access dictionaries directly from any list which uses a dictionary, but if you want to see all available dictionaries, delete dictionaries,etc, then check out the Manage Dictionaries item in Settings:

1) Tap Settings
2) Tap Manage Dictionaries

Adding (A) and Deleting (B) works just like with any List.

Scheduled Items

The Scheduled Items section of Settings controls the following:

A) "Alert When Adding Items" row specifies if an alert is displayed whenever the scheduler adds a recurring item to the list, or updates one on the list. This can be used as an impromptu notification

B) "On Item Delete" Lets you specify what happens to an Item Schedule when you delete an item with that schedule from a list. you can instruct the app "Don't Delete the Schedule", " Delete the Schedule", or "Ask Me" Deleting the schedule will stop the item from appearing.

C) "On Item Edit" Lets you specify what happens to an Item Schedule when you edit an item with that schedule from a list. You can instruct the app "Update the Schedule", "Don't Update the Schedule", or "Ask Me." This controls if future items added to the list reflect your changes.


9. Miscellaneous

Mapping Between List Types

If you are copying, moving or importing items, by default only lists that match the item(s) type are shown.
1) Tap the "All" Toggle in the middle of the toolbar to pick you can select a non-recommended target list or dictionary.
2) Tap "Lists" to see all possible lists, or Tap "Dictionaries" to pick a dictionary to map the items into.
3) If you pick a list that has a different type from the source items, you will be asked to Map fields into the type. The Left Column (A) has the target list fields. The Right Column (B) has source list field which will be used to populate the corresponding target list field.
4) Tap on a row to change the field mapping.
5) Tap Done when you're happy with the Field Mapping.

Restoring from an Email Backup

Forward the email with the .listbkup file to the device.
1) In the Mail app on the device, Press and HOLD on the .listbkup file in the email.
2) Tap "Open in Listomni"
3) You will be prompted to replace all data in the app with your backup.

Note that in backups sent from iPhone OS 3.1 and earlier, file attachments are not supported. Instead the backup is encoded in a link. Restoring from such a backup just involves clicking on the link in the Mail app on the device. These link can be truncated by Outlook and other mail programs if forwarded. Use the "Recoverable Backup" option (iPhone OS 3.1 Only) to ensure you can reconstruct the backup later. If you have problems with a backup, please contact support@ontomni.com

Restoring from a File Backup

First, get the file back onto the device from your computer:
1) Connect the device to your computer, Launch iTunes, click on the device in the left hand window
2) Click the "Apps" Tab in iTunes.
3) At the bottom of the window in the "File Sharing Section" click on "Listomni"
4) Click "Add..." and select the .listbkup file.
5) In Listomni, tap on the "Settings" tab.
6) Tap on "Backup and Restore"
7) Click on the correct backup date at the bottom of the screen.
8) You will be prompted to replace all data in the app with your backup.

Importing Items

Regular emails from Listomni contain a link that let you import the items on another device which is Running Listomni. This is useful when splitting shopping lists up at the store.

1) In the Mail app on the device, tap the link in the email.
2) This will Launch Listomni and prompt you to import that items. Tap Import Items.
3) Select a list to import the item to.

Note you can also create a new list for the items by tapping the green plus button.

Customizing Tabs

You can customize the items on the tab bar and their order as follows:

1) Tap twice on the More Tab.
2) Tap Edit.
3) Drag the Tabs you want onto the tab bar in the order you want.
4) Done.

Note that only lists at the Top Level of the List hierarchy (Lists not in a Folder) can be placed on the tab.

Tips

1) When building a grocery List you can avoid typing items by instead Browsing the dictionary: (Blue Action Button->Browse Dictionary)
2) We do have a way (though admittedly clunky) to import items from your computer. (Search the help for "Entering Items on your computer" )
3) If you don't like the way a list is grouped, sorted, or which fields it displays in the list, change it! Purple Eye Button->Edit->Tap the view. (Search "Custom Views" in help)
4) To get back to the top of a list tap the iPhone Status Bar.
5) Hate the phone rotating the view while shopping? (Checkout the Settings tab to lock it.)
6) Tap a Tab twice to get back to the top of the tab's hierarchy.


Gotchas

1) A list must be at the Top Level of the Lists Tab to be placed on the tab bar, if you have more than 14 lists at the Top Level, you wont be able to see them all when customizing tabs.
2) Currently renaming a section on the list, will not rename all occurrences of the section. Instead, tap the "i" button, tap on the Store Sections row, then rename the section there. This will update all items in the dictionary, and the list.

Frequent Crashes

If you experience frequent crashes, try rebooting the device. If that doesn't resolve the issue, please send us an email. We do reply!

Editing in List View

Depending on your settings, you can Edit item values that you can see in the list without having to leave the main list screen:
1) Tap Edit.
2) Tap the text on an item that you want to edit.
3) Set a new value.

See Edit Row Tap Behavior in Settings to enable this feature.

Numbers List

The Numbers List Type lets you store common numbers which are nice to have when you are away from home, such as passport number, drivers license number, credit card numbers and additionally a Contact phone number. (In the case that you lose your wallet for example, and need to call credit card companies to cancel the card. )

IMPORTANT! It is highly recommended that if you store sensitive information in the Numbers list type, that you enable the combo lock feature in the application to secure the data!

No Numbers are stored in the Dictionary for this list type, only number categories. So once you delete an item, all the information associated with it is gone, and will never be autofilled.

B. FAQ

Add and Remove Stores

To Add and Remove Grocery Stores from the Grocery List
1) Tap the "i" button to get to the List Options.
2) Tap on "Stores"

A) Tap the Green plus button to add a store.
Or
B) Swipe an unwanted store and tap delete.

Order My Store Sections

To Order Store Sections while viewing the grocery list by Section:
1) Tap Edit
2) Tap the Move Button on the right side of any group header.

C) Drag the Sections to the order you want using the move handle on the right hand side of the item.



Delete Default Lists

To Delete all Default Content and start fresh:
1) Tap the Lists tab.
2) Tap Edit.
3) Tap the Select All Button.
4) Tap the Red Trash Can Button.
5) Confirm the Deletion.

A) Note this will also leave you with only two tabs on the tab bar until you add at least one list via the Green Plus Button (B)

Setting the Store

You can set the store for a grocery item while viewing the Grocery List several ways:

Set the store on the item while editing or adding (Purple)
1) Tap the Item
2) Tap Store
3) Pick a value.

By Dragging items to the store. (Blue)
1) Tap the Purple Eye Button.
2) Tap "Group By Store, then Section"
3) Tap Edit.
4) Use the handle on the right of the item to drag it to the correct store.

Or via Edit Multiple Items... (Red)
1) Tap Edit
2) Select items to set the store for by tapping on the red circle to their left.
3) Tap the Green Multi Edit Button.
4) Set the Store
5) Set a Value
6) Tap Apply.

Note that to have an item show up when filtering by any store, leave the store blank.

Entering Items by Computer

You can enter items on your computer and mail them to your device. This is useful when importing large lists from other programs.

Splashscreen

Many people have contacted us asking to disable the splash screen when the app first opens.

Currently there isn't a way to disable the splash screen, mainly because of the way that third part apps are launched by the iPhone OS:

There is about a second or two of application launch time which is all Apple overhead.       This is hidden in the built in applications such as Notepad, Mail and Safari, because Apple actually shows you a splash screen which was a screen shot from the application the last time it was closed.    (Try clicking around in notes or mail immediately after launching and you'll notice it doesn't respond for 1-2 seconds.)

 Apple doesn't currently enable this trick for 3rd party applications.    We can only have a static image which is displayed during this time (The splashscreen)   (It's either that or a black screen during this time) We will be looking to change this and appropriate Apple's little trick as soon as they open it up, as we agree that there is value of being able to see what's on the list right away even before you can interact with it.

Second Group Not Visible!

The Group By Store then Section view is only showing Stores not Sections!

This is actually by design. Only one grouping is visible at a time. You need to filter on a specific group in order to see the second level of grouping
1) Tap a Group Header to Filter on that Group an see the items in that group grouped by the second Level in the Grouping hierarchy:
2) Tap the back button to remove the filter.

Listomni crashes immediately after the Ontomni Splashscreen

Try installing any free application from the appStore. Occasionally this seems to jostle iPhone or iTouch out of a bad state.

No Update is showing up on the App Store

Verify that the version is not the latest already:

  1. Launch Listomni
  2. Click the Help & Extras tab
  3. Click Contact Ontomni
  4. The version is listed at the top of the screen
If the version is NOT 2.4.0, it may be because this issue can occur when multiple itunes Ids are in use in a single household.
  1. Open iTunes
  2. Try authenticating in iTunes as the ID that you purchased the app with.
  3. Click on Applications.
  4. Ensure the application appears in the window on the right. If not:
    • Connect the Device.
    • Right click (or ctrl-click) the device in the left hand pane of iTunes.
    • Select transfer purchases.
  5. Look for a link like "Download 1 updates" in the lower righthand corner.
  6. Download the update
  7. Sync the device.
